1. Introduction
At RideHub, we strive to provide exceptional service and ensure your satisfaction with our car and motorcycle rental experiences. This Refund Policy outlines the terms and conditions for refunds and cancellations related to our rental services.
Note: This Refund Policy is part of our Terms and Conditions. By making a reservation or using our services, you agree to the terms outlined in this policy.
2. Reservation Cancellations
2.1 Standard Reservations
For standard vehicle reservations, our cancellation policy is as follows:
- 48+ hours before pickup: Full refund (100% of the amount paid)
- 24-48 hours before pickup: Partial refund (50% of the amount paid)
- Less than 24 hours before pickup: No refund
- No-show: No refund, full rental amount will be charged
2.2 Luxury and Specialty Vehicles
For luxury cars, exotic vehicles, and specialty motorcycles, the following cancellation policy applies:
- 7+ days before pickup: Full refund (100% of the amount paid)
- 3-7 days before pickup: Partial refund (75% of the amount paid)
- 24-72 hours before pickup: Partial refund (25% of the amount paid)
- Less than 24 hours before pickup: No refund
- No-show: No refund, full rental amount will be charged
2.3 Long-Term Rentals (7+ days)
For long-term rentals of 7 days or more, the following cancellation policy applies:
- 14+ days before pickup: Full refund (100% of the amount paid)
- 7-14 days before pickup: Partial refund (75% of the amount paid)
- 3-7 days before pickup: Partial refund (50% of the amount paid)
- Less than 3 days before pickup: No refund
- No-show: No refund, full rental amount will be charged
3. Early Returns
If you return a vehicle earlier than the scheduled return date:
- No refund will be provided for unused rental days for rentals of 3 days or less.
- For rentals longer than 3 days, we may provide a partial refund for unused days at our discretion, subject to a minimum rental period and an early return fee of one day's rental.
- Any promotional rates or discounts applied to your rental that were contingent on a minimum rental period may be recalculated at the standard rate if the early return disqualifies you from the promotion.
4. Reservation Modifications
Modifications to existing reservations are subject to the following terms:
- Extending your rental period is subject to vehicle availability and may result in a different rate for the additional days.
- Shortening your rental period is subject to the Early Returns policy outlined above.
- Changing to a different vehicle type may result in a price adjustment (increase or decrease) based on the current rates for the new vehicle.
- Modification requests must be submitted at least 24 hours before the scheduled pickup time to avoid cancellation fees.
5. Special Circumstances
5.1 Weather and Natural Disasters
In the event of severe weather conditions or natural disasters that make it unsafe to operate the vehicle:
- RideHub may cancel the reservation and provide a full refund.
- If you choose to cancel due to weather concerns, our standard cancellation policy applies unless the area is under an official weather emergency or evacuation order.
5.2 Vehicle Mechanical Issues
If a vehicle becomes unavailable due to mechanical issues before your rental period:
- We will attempt to provide a comparable or upgraded vehicle at no additional cost.
- If no suitable replacement is available and we must cancel your reservation, you will receive a full refund.
- If mechanical issues occur during your rental period that are not the result of misuse, you will be refunded for the unused portion of your rental period.
5.3 Medical Emergencies
In case of a documented medical emergency that prevents you from using our services:
- You may be eligible for a full or partial refund at our discretion.
- Documentation from a medical professional may be required to process this type of refund.
6. Security Deposits
Security deposits are handled as follows:
- The security deposit amount varies based on the vehicle type and rental duration.
- Security deposits are typically authorized (held) on your credit card at the time of pickup and released upon satisfactory return of the vehicle.
- Deductions from the security deposit may be made for:
- Vehicle damage not covered by insurance
- Missing fuel
- Excessive cleaning requirements
- Traffic or parking violations
- Late return fees
- Other charges as outlined in the Rental Agreement
- The remaining security deposit will be released typically within 3-5 business days after the vehicle return, though your bank may take additional time to process the release.
7. Insurance and Additional Services
Refunds for insurance coverage and additional services are subject to the following:
- Unused insurance coverage or additional services (such as GPS rentals, child seats, etc.) due to early return are generally non-refundable.
- If a reservation is canceled according to our cancellation policy, any prepaid insurance or additional services will be refunded according to the same schedule.
8. Processing of Refunds
All approved refunds will be processed as follows:
- Refunds will be issued to the original payment method used for the reservation.
- Processing time for refunds is typically 5-10 business days, though your financial institution may require additional time to reflect the refund in your account.
- All refunds will be issued in the same currency as the original payment.
9. Exceptions
RideHub reserves the right to make exceptions to this policy at our discretion in special circumstances. Any exceptions granted do not constitute a waiver of our right to enforce this policy in the future.
10. Dispute Resolution
If you believe a refund has been incorrectly denied or calculated:
- Contact our customer service team with all relevant details and documentation.
- If the issue cannot be resolved through our customer service team, disputes will be handled according to the Dispute Resolution section of our Terms and Conditions.
11. Changes to This Policy
RideHub reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. It is your responsibility to review this policy periodically for changes. Your continued use of our services following the posting of changes constitutes your acceptance of such changes.
